What is PDF Delivery?

PDF Delivery is how your customers receive the digital products you sell. ListingView bundles all of your files into a single downloadable PDF — making it easy to sell lots of files (above Etsy's 5-file limit) and large files (above Etsy's 20 MB file limit). Buyers get a branded download page with everything they purchased in one place.

PDF Delivery Settings let you control what that experience looks like — your shop's logo and branding, download buttons, a custom thank-you message, instructions on how to use the files, coupon codes for repeat purchases, social links, and more. Set global defaults that apply to every listing, then override specific fields on individual listings when you need a different look or message.

What you can do with PDF Delivery Settings

  • Brand your delivery PDF with a custom logo, banner image, and shop name

  • Choose colors for the page background, text, buttons, and accent elements

  • Pick a font family and adjust heading and body weights

  • Write a thank-you message, file instructions, and footer text

  • Add a coupon code block with a highlighted badge to encourage repeat purchases

  • Include social media links with a call-to-action

  • Control whether buyers see a "Download All" button, individual file buttons, or both

  • Use the {{.ListingTitle}} token to dynamically insert the listing title into the PDF heading

  • Override any content field on a per-listing basis from the Listing Optimizer

  • Preview a sample PDF before publishing changes

How to use PDF Delivery Settings

Open the settings page

Navigate to PDF Delivery Settings from the main dashboard menu. The page loads your current global settings. All changes auto-save after a short delay — you'll see a "Saving..." indicator followed by "Saved" when the save completes.

Set your header

  1. PDF title — Enter a title for the PDF. Use the {{.ListingTitle}} token chip below the input to dynamically insert each listing's title. Click the chip to insert it at your cursor position.

  2. Logo — Choose between your connected Etsy shop logo or upload a custom image. Click Choose File to upload a JPEG, PNG, WebP, or GIF. The logo appears at the top of the PDF.

  3. Banner — Upload a full-width banner image that appears as a strip across the top of the PDF. Same supported formats as logo.

  4. Shop name — Toggle on to display your shop name beneath the logo.

Choose colors and fonts

  1. Colors — Click any color swatch to open the picker. Set your primary color (used for the top bar, accents, and buttons), secondary color (subtitles, file sizes, footer), background color, and main text color.

  2. Font family — Select from Helvetica, Arial, Inter, Roboto, Georgia, Times New Roman, Playfair Display, or Merriweather.

  3. Heading weight and Body weight — Toggle between Bold and Normal for each.

Configure download buttons

  1. Button background color and Button text color — Set the colors for your download buttons.

  2. Button corner style — Choose from Sharp, Slightly Rounded, Rounded, or Pill.

  3. Download All button — Toggle on to show a single button that downloads all files at once.

  4. Individual download buttons — Toggle on to show a separate button for each file.

You can enable both options so buyers can choose their preferred method.

Add content blocks

Thank-you message — Toggle on and customize the message your buyers see at the top of the PDF. Defaults to "Thank you so much for your purchase!"

Instructions — Toggle on to include a "How to Use Your Files" section. Set a custom heading and add step-by-step instructions in the body field (use new lines to separate steps).

Coupon / discount — Toggle on to display a highlighted coupon block. Fill in the heading, coupon code (shown as a prominent badge), and a description. Set a custom highlight color for the coupon background.

Social links — Toggle on and add links to your social profiles. Choose a platform (Instagram, TikTok, YouTube, Pinterest, Facebook, Twitter, Etsy, or Custom) and enter the URL. Add as many links as you need. Set a section heading and call-to-action text.

Set footer and branding

Footer text — Add a copyright notice, contact information, or any closing text.

ListingView branding — Toggle the "Powered by ListingView" line. This is required on the free plan.

Override settings per listing

You can customize content fields on individual listings without changing your global defaults. Override the PDF title, images, messages, coupon, and more from the Listing Optimizer's PDF delivery panel. See Per-Listing Overrides for the full guide.

Key concepts

Global settings — Your account-wide defaults. Every listing uses these unless you set a per-listing override. Colors, fonts, button styling, social link URLs, and the branding toggle can only be configured globally.

Per-listing overrides — Optional customizations applied to individual listings. Content fields like the title, thank-you text, instructions, coupon, and footer can be overridden. An empty override field falls back to the global value.

Auto-save — Changes save automatically after 800ms of inactivity. File uploads (logo, banner) save immediately upon upload. A status indicator shows "Saving..." and then "Saved" to confirm.

Template token — The {{.ListingTitle}} placeholder in the PDF title field. It is replaced with the actual listing title when the PDF is generated, so each listing's delivery PDF shows its own name.

Tips & best practices

  • Start with the global settings and get your branding right before setting per-listing overrides. Most sellers only need overrides for listings with unique instructions or a targeted coupon.

  • Use the {{.ListingTitle}} token in the PDF title so each delivery PDF automatically shows the correct listing name without manual entry.

  • Add a coupon code to encourage repeat purchases. A 10-15% discount on a future order converts well and the coupon block makes it prominent.

  • Keep instructions concise and use line breaks to separate steps. Buyers scan quickly — numbered steps work better than long paragraphs.

  • Upload a banner image that matches your shop's visual identity. It adds polish to the delivery experience and reinforces your brand.

  • Preview your PDF after making changes to catch layout issues before any buyer sees them.

Common questions

Do I need to save manually?
No. Changes auto-save after a brief delay. You'll see a "Saving..." indicator and then "Saved" confirmation. File uploads (logo and banner) save immediately.

What happens if I leave a per-listing override field empty?
The listing falls back to your global setting for that field. Only fields with actual content override the global value.

Can I use different colors or fonts for different listings?
No. Colors, fonts, button styling, and social link URLs are global-only settings. Per-listing overrides are limited to content fields like the title, messages, coupon, and footer.

What image formats are supported for the logo and banner?
JPEG, PNG, WebP, and GIF.

Is the "Powered by ListingView" branding required?
It is required on the free plan. Paid plans can toggle it off.

Can I include a coupon for only some listings?
Yes. Enable the coupon block globally and leave the code empty, then add a coupon code as a per-listing override on the specific listings where you want it to appear. Or enable the coupon globally with a code and override with a different code on select listings.
