What you can do with Asset Library

  • Upload up to 20 files at once, up to 250 MB per file

  • Store images, PDFs, fonts, archives, video, audio, and documents

  • Organize files into collections with names, descriptions, and cover images

  • Check image files for Print-on-Demand (POD) compliance with automated assessments

  • Link individual files or entire collections to Etsy listings as deliverables

  • Search, filter, and sort your file library by type, POD status, upload status, or collection

  • Switch between grid and table views

How to use Asset Library

Upload files

  1. Open Asset Library — Navigate to Asset Library from the main menu.

  2. Upload files — Drag files onto the upload area or click Browse Files. You can upload up to 20 files at a time, with a maximum of 250 MB per file.

    Supported file types include images (JPEG, PNG, GIF, WebP, SVG, TIFF), documents (PDF, DOCX, XLSX, TXT, CSV), fonts (TTF, OTF, WOFF, WOFF2), archives (ZIP, RAR, 7Z), video (MP4, MOV, AVI), and audio (MP3, WAV, FLAC, OGG).

  3. Monitor upload progress — An upload queue shows the status of each file. After upload, files are processed (metadata extraction, thumbnail generation) before they appear as ready.

Organize into collections

  1. Create a collection — Click the + button in the collections sidebar and give it a name.

  2. Add files — Drag files onto a collection name in the sidebar, or select files and use the bulk action toolbar to add them to a collection.

  3. Manage collections — Each collection can have a custom name, description, and cover image. You can also download an entire collection as a ZIP file.

  4. Remove or move files — Use the bulk action toolbar to move files between collections or remove them from a collection. Removing a file from a collection does not delete the file itself.

Check POD compliance

Click any image file to open its detail modal. The POD assessment section shows individual compliance checks with pass, fail, or warning results for factors like resolution, dimensions, DPI, and color mode. You can re-run the assessment at any time.

Link files to listings

From the Listing Optimizer, open a listing and navigate to the deliverables panel. You can attach individual files or entire collections from your Asset Library as deliverables for that listing.

Bulk actions

Select multiple files using checkboxes, then use the bulk action toolbar to:

  • Add selected files to a collection

  • Move files between collections

  • Remove files from the current collection

  • Download selected files as a ZIP

  • Delete files permanently

Replace a file

Need to update a file without breaking existing links? Open the file detail modal and use the Replace File option. The replacement preserves all collection memberships and listing links — only the underlying file content changes.

Key concepts

Collections — Named groups of files, similar to folders. A file can belong to multiple collections. Collections can have descriptions and cover images, and can be downloaded as ZIP files or linked to listings as deliverables.

POD compliance — An automated assessment that checks whether an image meets Print-on-Demand production requirements (resolution, dimensions, DPI, color mode). Each check shows a pass, fail, or warning status with an explanation.

Digital downloads — Files attached to Etsy listings as deliverables. When a buyer purchases a digital product, these are the files they receive. You can link individual files or entire collections.

Tips & best practices

  • Organize your files into collections by product line or project. For example, a "Vintage Florals" collection for all assets in that design series makes it easy to link the entire collection to related listings.

  • Check POD compliance before uploading to production platforms. Fixing resolution or color mode issues early saves time and prevents rejected orders.

  • Use the Replace File feature when updating a design rather than deleting and re-uploading. This preserves all your existing collection and listing links.

  • Monitor your storage usage bar. If you are approaching your limit, review your library for outdated files that can be removed.

  • Use filters to quickly find specific file types. For example, filter by "Image" and "POD: Warning" to find all images that need attention before production.

Common questions

What file types can I upload?
Asset Library supports images (JPEG, PNG, GIF, WebP, SVG, TIFF), documents (PDF, DOCX, XLSX, TXT, CSV), fonts (TTF, OTF, WOFF, WOFF2), archives (ZIP, RAR, 7Z), video (MP4, MOV, AVI), and audio (MP3, WAV, FLAC, OGG). The maximum file size is 250 MB.

What happens when I delete a collection?
The files inside the collection are not deleted — only the collection grouping is removed. Your files remain in the library and in any other collections they belong to.

Can I link files to multiple listings?
Yes. The same file or collection can be attached as a deliverable to as many listings as you need.

What does the POD compliance check look for?
The assessment checks factors like image resolution, dimensions, DPI, and color mode against Print-on-Demand production requirements. Each check reports pass, fail, or warning with a specific explanation.

How does file replacement work?
When you replace a file, the new file takes the place of the old one while keeping all existing collection memberships and listing deliverable links intact. This is useful when updating a design without disrupting your workflow.
