Using Assets

Once your files are uploaded and organized, you can link them to Etsy listings as deliverables, replace files without breaking existing links, and manage multiple files at once with bulk actions.

Linking files to listings

Attach individual files or entire collections to your Etsy listings as deliverables. When a buyer purchases a digital product, these are the files they receive.

1. Open a listing in the Listing Optimizer editor.

2. Navigate to the deliverables panel.

3. Click Add Files or Collections — a picker opens with two tabs:

   • Individual Files — Search and select specific files from your library

   • Collections — Select entire collections to attach all their files at once

4. The selected files appear as deliverables for that listing.

The same file or collection can be linked to as many listings as you need.

Replacing a file

Need to update a design without breaking existing links? Use the Replace File feature.

1. Open the file's detail modal by clicking it in the library.

2. Click Replace (or use the three-dot menu in table view).

3. Upload the replacement file.

4. All collection memberships and listing deliverable links are preserved — only the underlying file content changes.

The replacement modal warns you how many listings and collections reference the file so you know the impact before confirming.

Bulk actions

Select multiple files using the checkboxes on file cards (grid view) or rows (table view). A sticky toolbar appears at the top with these actions:

Per-file actions

Click any file to open its detail modal, or use the three-dot menu (table view) for quick actions:

• Download — Download the original file

• Replace — Swap the file content while preserving all links

• Rename — Click the filename in the detail modal to edit it

• Delete — Permanently delete the file (confirmation required)

The detail modal also shows full metadata (dimensions, DPI, color mode for images; page count for PDFs; file count for archives), POD compliance results, collection memberships, and linked listings.

Tips & best practices

• Use Replace instead of delete-and-reupload when updating a design. This keeps all your collection and listing links intact with zero rework.

• Link entire collections to listings when a digital product includes multiple files. If you update the collection later, the listing's deliverables stay current.

• Use Download ZIP to back up a collection or share a set of files outside of ListingView.

• Review linked listings before deleting a file — the detail modal shows exactly which listings reference it.

Common questions

Can I link the same file to multiple listings?
Yes. A file or collection can be attached as a deliverable to as many listings as you need.

What happens to deliverables when I replace a file?
All listing links are preserved. Buyers who purchase after the replacement receive the new file. The swap is seamless.

Does deleting a file remove it from listings?
Yes. If a file is attached as a deliverable and you delete it, the deliverable link is also removed. The detail modal shows linked listings so you can check before deleting.

Is the Asset Library the same as Etsy's digital downloads?
They're separate systems. The Asset Library manages files within ListingView and can link them to listings as ListingView deliverables. Etsy's native digital download system can coexist alongside it.
