Uploading & Organizing
Uploading & Organizing
Get your files into the Asset Library and organize them into collections so everything is easy to find when you need it.
Uploading files
Drag files onto the upload area or click Browse Files to open the file picker. You can upload up to 20 files at a time, with a maximum of 250 MB per file.
Upload process
After you drop or select files:
Each file appears in the upload queue with a progress bar.
Once uploaded, files enter a processing state while the system extracts metadata and generates thumbnails.
When processing completes, the file status changes to ready and it appears in your library.
Processing usually takes a few seconds. If a file fails, the card shows a red indicator with a "Retry" option. Files flagged by the security scan show a yellow "Flagged by security scan" label.
Upload limits
Limit | Value |
|---|---|
Max files per upload | 20 |
Max file size | 250 MB per file |
Storage quota | Depends on your plan |
If your storage quota is full, uploads are blocked. Free up space by deleting files you no longer need, or upgrade your plan for more storage.
Creating collections
Collections are named groups of files — similar to folders, but more flexible because a file can belong to multiple collections at once.
Click + New Collection in the collections sidebar.
Give it a name.
The collection appears in the sidebar, ready for files.
Adding files to collections
There are three ways to add files to a collection:
Drag and drop — Drag files from the main area onto a collection name in the sidebar.
Bulk action — Select files using checkboxes, then click Add to Collection in the bulk actions toolbar and pick a collection.
Move between collections — When viewing a specific collection, select files and click Move to Collection to move them to a different one.
Removing a file from a collection does not delete the file — it only removes the grouping. The file stays in your library and in any other collections it belongs to.
Managing collections
Right-click a collection in the sidebar (or use its menu) to access these options:
Rename — Edit the collection name inline
Edit Description — Add or update a description in a modal
Set Cover Image — Choose any image from the collection as its cover thumbnail
Download as ZIP — Download all files in the collection as a single ZIP file
Delete — Remove the collection grouping (files are not deleted)
POD compliance checks
When you upload an image file, the system automatically runs a Print-on-Demand compliance assessment. Open any image file to see the results in its detail modal.
Each check shows a pass, fail, or warning status for factors like:
Resolution and dimensions
DPI (dots per inch)
Color mode
Transparency
You can re-run the assessment at any time from the file detail modal.
POD status badges appear on each file card and in the table view:
Badge | Meaning |
|---|---|
POD Enabled (green) | File passes all compliance checks |
POD Review (yellow) | One or more checks need attention |
POD Disabled (gray) | File does not meet compliance requirements |
N/A (gray) | Not applicable (non-image file) |
Tips & best practices
Organize files into collections by product line or project — a "Vintage Florals" collection for all assets in that design series makes linking to listings faster.
Check POD compliance before uploading to production platforms. Fixing resolution or color issues early saves rejected orders.
Use descriptive filenames before uploading. While you can rename files in the library, clear names from the start make searching easier.
Monitor the storage bar. If you're approaching your limit, review your library for outdated files that can be removed.
Common questions
Can a file belong to multiple collections?
Yes. Unlike folders, collections are non-exclusive. The same file can be in as many collections as you need.
What happens when I delete a collection?
Only the collection grouping is removed. All files inside remain in your library and in any other collections they belong to.
What's the difference between Move and Add to Collection?
"Add to Collection" keeps the file in its current collection and also adds it to the new one. "Move to Collection" removes it from the current collection and places it in the new one.
